Cancellation Policy and Right to Cancel

Introduction

This Cancellation Policy applies to all services, sessions, workshops, events, training programmes, and bookings made with Louise Middleton / Mind Body Soul Scientist (“the Practitioner”, “we”, “our”, or “us”).

This policy is designed to be fair, transparent, and compliant with applicable UK consumer legislation, including the Consumer Rights Act 2015 and the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013.

By booking a session, event, workshop, course, or service, you (“the Client”) agree to the terms outlined below.

1. Individual 1:1 Appointments and Sessions

This section applies to all personal one-to-one appointments, including but not limited to:

  • Spiritual consultations and readings
  • Reiki and complementary therapy sessions
  • Mentoring and coaching sessions
  • Spiritual development sessions
  • Wellbeing consultations
  • Online or in-person appointments

24-Hour Notice for Rescheduling

Clients are required to provide a minimum of 24 hours’ notice before the scheduled appointment time if they wish to request a reschedule.

Requests received with less than 24 hours’ notice may be treated as a missed appointment and may not be eligible for rescheduling.

Rescheduling requests are subject to availability and are offered at the discretion of the Practitioner.

48-Hour Notice for Refund Consideration

Where a client wishes to cancel a confirmed appointment and request financial compensation or refund consideration, a minimum of 48 hours’ notice is required.

Where sufficient notice is not provided, the full session fee or deposit may be retained, particularly where:

  • the appointment slot cannot reasonably be filled;
  • preparation time has already been undertaken;
  • venue, room hire, travel, or administration costs have been incurred.

Missed Appointments and Late Attendance

If a client does not attend a booked session without notice (“no-show”), the appointment will normally be treated as fully chargeable.

If a client arrives late, the session may still end at the original scheduled time to avoid disruption to subsequent appointments. Full fees will remain payable.

2. Deposits and Advance Payments

Unless otherwise stated in writing:

  • All deposits are non-refundable.
  • Advance payments secure your booking, appointment time, event place, or preparation time.
  • Deposits may only be transferred or refunded where cancellation has been initiated by the Practitioner.

Where a booking is cancelled by the Practitioner, clients will normally be offered either:

  • a rescheduled appointment or event date; or
  • a refund of monies paid for the cancelled service.

Refunds will normally be processed within 14 days of agreement.

3. Workshops, Group Events, Courses, and Retreats

This section applies to:

  • Workshops
  • Group healing events
  • Training programmes
  • Retreats
  • Development circles
  • Educational courses
  • Online group programmes
  • In-person events

Event-Specific Terms

Each event, workshop, or course may have its own individual cancellation terms depending on:

  • venue hire agreements;
  • accommodation costs;
  • travel expenses;
  • catering arrangements;
  • third-party booking requirements;
  • preparation and material costs.

Specific cancellation terms, payment schedules, and refund arrangements will therefore be communicated separately for each event where applicable.

Client Cancellation of Events

Where a client cancels attendance at a workshop, event, or group booking:

  • deposits are normally non-refundable;
  • refunds may be partial or unavailable depending on the notice period provided and costs already incurred;
  • transfer of a place to another date or participant is at the discretion of the Practitioner.

Cancellation by the Practitioner

In the unlikely event that an event, workshop, or course must be cancelled by the Practitioner due to illness, unforeseen circumstances, insufficient attendance, venue issues, or circumstances beyond reasonable control, clients will normally be offered:

  • a transfer to an alternative date;
  • a credit toward another service; or
  • an appropriate refund relating to the cancelled service.

The Practitioner shall not normally be responsible for external costs incurred by clients, including:

  • travel expenses;
  • accommodation costs;
  • loss of earnings;
  • childcare expenses; or
  • other consequential losses.

Clients are encouraged to consider appropriate travel insurance where significant travel or accommodation costs are involved.

4. Consumer Right to Cancel (Distance and Online Bookings)

Under UK consumer law, clients booking online, by telephone, email, or other distance methods may have a legal right to cancel within 14 days.

However, where:

  • a service date is booked within the 14-day cancellation period; and/or
  • the client expressly agrees for the service to begin within that period,

the client acknowledges and agrees that cancellation rights may be reduced or lost once the service has been fully or partially delivered.

By confirming a booking, clients may therefore be asked to acknowledge that:

  • they request the service to commence within the 14-day cancellation period; and
  • they understand that once the service has been completed, the right to cancel may no longer apply.

This is particularly relevant for:

  • online sessions;
  • digital consultations;
  • energy healing sessions;
  • readings;
  • mentoring appointments;
  • downloadable or digital course materials.

5. Exceptional Circumstances

We understand that unforeseen emergencies and compassionate circumstances can arise.

Requests relating to exceptional circumstances may be considered on an individual basis at the discretion of the Practitioner.

Any waiver of fees, transfer of bookings, or refund offered in exceptional circumstances shall not create an ongoing obligation to do so in future cases.

6. Practitioner Discretion and Professional Boundaries

The Practitioner reserves the right to:

  • refuse or discontinue services where appropriate;
  • amend appointments where necessary;
  • refuse repeated late cancellations or non-attendance;
  • protect personal wellbeing, safety, professional boundaries, and business sustainability.

Any unreasonable, abusive, threatening, or inappropriate behaviour may result in cancellation of services without refund.

7. Contact Regarding Cancellations

All cancellation or rescheduling requests should be made as soon as possible using the contact details provided at the time of booking.

For clarity and record-keeping purposes, written communication by email or message is preferred wherever possible.

8. Policy Updates

This Cancellation Policy may be updated periodically to reflect changes in services, legal requirements, or business practices.

The latest version will apply to all future bookings from the date of publication.
